For the Total Hours when a teacher marks attendance using the biometric machine, and if Auto Attendance is enabled, the system records the "In Time" when the teacher first places their finger on the biometric device. However, this initial scan does not immediately mark the teacher as "Present."

Later, when the same teacher places their finger again on the biometric device while exiting, the system records the "Out Time." At this point, the software calculates the total working hours based on the recorded In and Out times.

According to the predefined rules in the attendance settings (as shown in the attached screenshot), categories like Present, Late, Half Day, and Half Day Second Shift are defined with specific time thresholds.

Here’s how it works:

If the total working hours fall within the range defined for "Present," the system marks the teacher as Present.

If the total hours are less and fall within the "Late" criteria, the system marks the attendance as Late, based on the actual In and Out time.

Similarly, if the total working hours fall within the limits set for Half Day or Half Day Second Shift, the system marks attendance accordingly.

In summary, the teacher's status (Present, Late, Half Day, etc.) is not based on just marking in or out, but on the total duration between In and Out, as compared with the rules set in the system.

  • Present if teacher mark attendance between 6:00 am to 9:00 am

Ans: If a teacher marks their In Time between 6:00 AM and 9:00 AM, the system will record this as the teacher's In Time. However, the attendance status (e.g., Present) will not be marked at this point—it remains pending until the Out Time is also recorded.

 

For example, if a teacher mark In Time at 9:00 AM and later marks Out Time at 3:30 PM, and this duration meets the minimum required hours as defined in the system settings, then the system will automatically mark the attendance as Present. The final attendance status is determined only after both In and Out times are recorded, based on the total working hours.

 

Late if teacher marks attendance between 9:00 am to 10:30 am

--> If a teacher marks their In Time between 9:00 AM and 10:30 AM, the system will record this as the teacher’s In Time. Later, when the teacher marks their Out Time, the system will record it as well and automatically calculate the total working hours.

If this In Time falls within the 'Late' time range as defined in the attendance settings, and the total working hours meet the required threshold, the system will automatically mark the attendance as Late.

So, both the In Time and Out Time are used to determine the total duration, and based on the configured rules, the system assigns the appropriate attendance status.

 

Half day if teacher mark attendance between 09:15 AM to 09:30 AM

---> When In Time range is between 09:15 AM to 09:30 AM. According to this updated timing, if a teacher marks his In Time attendance between 09:15 AM to 09:30 AM, instead of 8:45 AM which is  the system will record that time. Then, when the teacher marks his Out Time which could be before the end time of school, but it should be complete at least 4 hour—for example, at the school’s end time of 3:20 PM—the system will calculate the total working hours, which would be approximately 4 hours.

As per the attendance settings, if this In Time range (09:15 AM to 09:30 AM) is defined for Half Day, the system will consider that the teacher missed the second half and joined in the first half of the day. Hence, the attendance will be automatically marked as Half Day based on the setting.

 

 Half Day Second Shift (SH)

---> For Half Day Second Shift mean when In Time range should be between 07:30 AM and 08:30 AM.

According to this updated timing, if a teacher marks their In Time attendance between 07:30 AM and 08:30 AM, the system will record that time. Then, when the teacher marks their Out Time—for example, at the school’s end time of 3:20 PM and teacher marks their out attendance in 12:30 PM—the system will calculate the total working hours, which would be approximately 4 hours.

As per the attendance settings, if this In Time range (12:00 PM and 12:30 PM) is defined for Half Day – Second Shift, the system will consider that the teacher missed the first half and joined in the second half of the day. Hence, the attendance will be automatically marked as Half Day (Second Shift) based on the defined rules.
